For all registrations opting to pay by check via mail, payment must be received within 30 days of registration.

Hotel

Hotel accommodations are offered at a special nightly rate of $329, contingent upon availability. Additionally, rooms will be available for booking two days prior to the event dates, again subject to availability. Attendees are responsible for securing their hotel reservations by directly contacting the hotel at 1-800-266-7237 or 1-954-414-5100, or by utilizing the provided online reservation link. Please note that all reservations must be made no later than 5:00 PM local time at the hotel on Friday, November 07, 2025.

Check-In/Check-Out Times: Please note that check-in is at 4:00 p.m. and check-out time is 11:00 a.m. Please plan your travels accordingly.

Hotel Cancellations: Cancellations prior to (72) seventy-two hours before arrival will avoid a cancellation charge of one night’s room plus tax. Any cancellations after that time and no-show reservations are subject to a charge of one night’s room plus tax to the payment method on file.

Guests are responsible for own payment of no/show or canceled reservation.

Group rate room nights will not be guaranteed available for nights above contracted event nights. Please contact a reservations agent at the above numbers as they will be based on rate and category availability to confirm if group rate nights are available and to obtain the best available selling rate on needed dates.

User Conference Cancellation Policy:
In the event that you are unable to attend the conference, cancellations must be communicated in writing via email to [email protected].

Individual reservations can be canceled at no charge until Friday, September 27, 2025. Please be aware that failure to cancel your reservation by September 27, 2025, will result in no refunds being issued.

User Conference Substitution Policy:
Should you find yourself unable to attend after registering, you have the option to substitute another individual at no extra cost. The payment originally made by the registrant will be transferred to cover the replacement's registration. Substitutions are permissible at any time and should be requested in writing via email to [email protected]

User Conference Guest Fees:
Sessions at the HFA User Conference are reserved for registered agency attendees exclusively. However, attendees have the opportunity to bring guests to networking and social events for an additional fee. Please indicate on your registration form if you plan to bring a guest and refer to additional information and fees accordingly.
